Running a household with kids, work, schedules, and real life in the mix gets messy fast.
We’re not hyper-organized people. We’re just tired of asking“what’s going on today?” fifteen times.
This is the simple system we use to keep things moving without overcomplicating it.
The Rules First (This Is Why It Works)
Before tools, there are a few ground rules:
If it’s not on the calendar, it doesn’t exist
If it’s not in the notes, it gets forgotten
If it’s urgent, it goes in the group chat
Everyone uses the same system (no rogue apps)
That’s it. The tools just support the rules.
1. Shared Notes = The Running Brain
App: Apple Notes
Use: Grocery list, house to-do list, random reminders
How we use it:
One shared grocery list that’s always live
One shared house to-do list
Checkboxes for everything
Why it works:
Fast (opens instantly)
No friction, updates share fast and easy in iMessage
Always accessible
If adding something feels like work, no one will do it. This removes that excuse.
2. Shared Calendar = The Source of Truth
App: Google Calendar
Use: Everything with a time and place
What goes in:
Soccer practices & games
Work schedules
Appointments
Time off
How we structure it:
Color-coded by person
Events include location + time buffer
Everyone can see everything
Non-negotiable rule: 👉 If it’s not on the calendar, it’s not happening
This eliminates 90% of confusion.
3. Group Chat = Real-Time Coordination
App: iMessage
Use:
Quick updates
Pickup changes
“Running late” messages
This is where plans adjust in real time.
Not everything belongs on a calendar. This is the gap filler.
4. Google Drive = The Filing Cabinet
App: Google Drive
Use:
Important documents
School info
House-related files
Why it matters:No more digging through emails or asking“where is that thing?”
Everything lives in one place.
5. Life360 = Awareness (Not Control)
App: Life360
Use:
Location awareness
Arrival notifications
Sanity
Why we use it:
Confirms people got where they’re supposed to be
Reduces constant check-ins
Helps with coordination when plans shift
It’s not about hovering. It’s about removing guesswork.
6. Email = The Official Channel
Use:
School communication
Important logistics
Adult-level coordination
If something matters and needs to be referenced later, it goes here.
Why This System Works
It’s simple
It’s shared
It’s consistent
Most systems fail because they’re too complex or no one sticks to them.
This one works because it’s lightweight enough to actually use every day.
Where It Breaks (Because It Will)
Someone forgets to add something to the calendar
Someone assumes “you knew”
Kids don’t check anything unless prompted
The system isn’t perfect. But it’s a lot better than chaos.
If You Want to Steal This Setup
Start here:
Set up a shared calendar and agree it’s the source of truth
Create one shared notes list for groceries + to-dos
Use a group chat for real-time updates
Add Drive for documents if you don’t already have it
Layer in Life360 if coordination is a pain point
Don’t overbuild it. Simple systems get used.
Final Thought
This isn’t about being organized.
It’s about removing friction so your day runs smoother and you spend less time figuring out logistics...and more time actually living your life.
